    • Monthly virtual planning meetings

    • Guest communication support, including RSVP tracking and updates

    Vendor Management

    • Full vendor sourcing, research, and recommendations

    • Coordinate vendor availability, pricing, and contract review

    • Negotiate pricing and manage deposit schedules

    • Serve as primary point of contact for all vendor communications

    • Attend vendor meetings as needed 

    • Confirm vendor insurance, permits, and logistical needs

    • Backup planning for vendor cancellations or emergencies

    Budget & Financial Management

    • Develop and manage wedding budget, including deposits and payment schedules

    • Forecast and track expenses; provide cost-saving suggestions

    • Assist with vendor payments, gratuities, and post-event budget recap

    • Manage contingency funds and track all financial details

    Design & Event Logistics

    • Collaborate on overall wedding vision, theme, and decor conceptualization

    • Mood boards, color palettes, and styling recommendations

    • Coordinate layouts, event flow, lighting, AV, and furniture rentals

    • Oversee table settings, signage, escort cards, and decor installation

    • Assist with wedding website, online invitations, and menu planning

    • Transportation planning for family and guests

    • Timeline creation for full event, including rehearsal, ceremony, and reception

    Wedding Day Coordination

    • Ceremony rehearsal (up to 1 hour, day prior to wedding)
      Up to 16 hours on-site with two planners for full-day support

    • Coordinate all deliveries, setup, and installation

    • Serve as main point of contact for all vendors during event

    • Ensure seamless execution of ceremony, reception, dinner service, and entertainment

    • Guest arrival and experience management

    • Troubleshoot and manage any unexpected situations

    • Oversee takedown, load-out, and return of rentals or borrowed items

    • Ensure safe return of gifts, personal items, and decor

    • Up to 5 vendor calls and meetings to finalize details

    • Monthly virtual planning meetings with client

    • Unlimited phone and email communication for guidance and support

    Vendor Management

    • Manage all vendor communications during final month leading up to wedding

    • Provide vendor recommendations and assist with final confirmations

    Budget Support

    • Advise on initial budget planning and allocation

    • Guidance on tracking final payments and gratuities

    Design & Event Logistics

    • Collaborate on decor conceptualization and overall design vision

    • Develop venue layout and event flow

    • Create and finalize wedding day timeline

    • Assist with layout design

    Wedding Day Coordination

    Month Prior:

    • Final meeting with client & timeline review

    • Confirm all final details and arrival times for vendors

    Vendor Coordination 2 Weeks Prior:

    • Includes reaching out to each vendor; introducing WBE; confirming time, duties, and tasks that each vendor has agreed upon; answering questions and addressing concerns; sharing final timeline

    Wedding Week:

    • Ceremony Rehearsal (Up to 1 hour)

    Wedding Day:

    • Up to 10 hours on-site with two planners

    • Coordinate all deliveries and installations

    • Coordinate ceremony and reception set up

    • Coordinate distribution of final payments and gratuities

    • Manage and coordinate transportation for family and guests

    • Timeline execution (including dinner service, dancing, speeches, etc.)
